How to delete old emails by time (manually)

When you want to swiftly remove a lot of old emails based on a specified time, this approach works well.

Step 1: Enter the following syntax in the search mail box: before: yyyy/dd/mm

- In which:

       + yyyy: year

       + dd: day

       + mm: month

- For instance: I would type before: 2020/01/01 if I wanted to remove all emails sent before that date. Next, press Enter.

Step 2: All emails that meet the search parameters will be shown by Gmail. To pick all emails, tick the little box next to the "Select" button and then select "Select all conversations that match this search" (Select all conversations that match this search). Click the trash icon to remove all emails that have been selected for deletion.

Step 3: Click "OK" once Gmail confirms the deletion.

How to automatically delete old emails with Email Studio

The Email Studio for Gmail extension may be used to automatically and sporadically remove outdated emails.

Step 1: Navigate to the Google Workspace Marketplace's Email Studio site and choose "Install." To give access, choose the Gmail account you wish to link and click "Allow."

Step 2: Following installation, the Gmail screen's right sidebar will display the Email Studio symbol. The Email Studio interface will open when you click on this icon.

Step 3: Choose "Email Clean Up."

Step 4: Click "Allow" to allow access to Email Studio after choosing "Review Permissions" and choosing the Gmail account you wish to use. To add a new email deletion rule, step five is to click "New Rule."

Step 5: To create a new rule for deleting emails, select "New Rule."

Step 6: Complete the required fields, including:

  • Name of the Rule: Give the rule a name, such as "Delete emails older than one year."

  • From: Remove emails from certain senders (you can skip this if you want to remove all of them).

  • Delete emails from a certain Gmail folder (choose "Anywhere" if you wish to remove emails from every folder).

  • Acquired: Choose the window of time during which received emails will be removed. To exclude emails received more than a year ago, for instance, choose "1 year."

Step 7: Use the "Advanced Search Query" box to set more complex filtering parameters, including removing large-sized emails with attachments. For further information on advanced search syntax, visit Google's help page.

Step 8: Click Save after checking the Send to Trash box.

Once the rule has been saved, Email Studio will automatically run in the background every hour to remove outdated emails that satisfy the criteria you've specified.
